Bibliography Club

The Bibliography Club is a unique voluntary organization born out of a recognized need and established by the initiatives of Dr. Endel Aruja and consisting of volunteers working with Tartu Institute since 1985. The members of the Club are drawn to membership by a common goal to help protect, properly assemble and maintain archival materials of Estonian subject matter. In these tasks the Club is organizationally tied to Tartu Institute and its archivist Dr. Roland Weiler. The Bibliography Club has no commercial goals and the Club’s only income accrues from membership fees and from cultural events organized by the Club. Examples of such are events of recognition of Estonian writers; book fairs and exhibitions; celebrations of the Day of Independence of the Estonian Republic; and other gatherings to recognize ethnically important events as well as formal evenings and meetings to honour outstanding individuals. At present there are 35 active members in the Club and it would benefit from additional members. Interested individuals are asked to contact members of the Executive.

Membership is open to all who pursue the Club’s objectives and pay their dues. The Annual Meeting of the Club gives it overall direction and elects the Executive and Audit Committees for a two-year term. The Executive Committee consists of the Chair, Vice-Chair, Secretary Treasurer and Assistant Treasurer. The Audit Committee consists of three members and elects its own chair. The Annual meeting is called by the Executive at least two weeks prior to the meeting’s date. It approves the Club’s program and activities proposed by the Executive or raised at the meeting for the following year; the financial report and decides on questions pertaining to the Club’s constitution. The Annual Meeting also decides on membership fees. The meeting is chaired by the Executive Committee’s Chair. The Annual Meeting has the power o decision making regardless of the number of members in attendance. Executive meetings are called by the Executive to discuss questions arising from the day-to-day activities and which are not within the purview of the Annual Meeting.

The Executive oversees the activities of the Club according to the program decided upon by Annual and other meetings. It also prepares and presents for discussion and ratification future plans and programs and makes appropriate reports. The Chair coordinates the activities of the Executive Committee and the Club and represents the organization to the community at large. To meet the various challenges of the Club, timely taskforces, as suggested by the Executive and ratified by the Annual and/or general meetings are appointed for set periods of time.
